This Job Applicant Privacy Notice (the “Notice”) informs you of how Sitetracker (“Sitetracker”, “we” or “us”)  will use the information you submit through the Sitetracker Careers Section of the Sitetracker website found here: https://www.sitetracker.com/career/, as well as the information which we may collect or be provided as part of a job application and/or job search process. By submitting personal information, you expressly acknowledge that you have read and understand all of the terms of this Notice.

PERSONAL INFORMATION THAT WE COLLECT

We process your personal information for the purposes of fulfilling open job positions and recruiting job candidates. Such personal information may be collected in different ways: it may be contained in your resume or CV, in your application form, your identification document, or may be gathered from interviews or assessments you take during the recruitment process. In some cases, it may also be collected from third parties, for example when seeking employment references or if we receive details of a certification or training you obtained. As part of our talent sourcing program, we often obtain your contact details from LinkedIn or other publicly available professional networking platforms or directories in accordance with the platform terms and where your privacy settings permit this so we can contact you to tell you about potential job opportunities.

We collect the following categories of personal information:

  • Contact details: such as your name, home address, email address, and phone number;
  • Information relating to your career: such as job history, academic background, qualifications, professional and personal competencies and skills, and your job expectations;
  • Information about your history of remuneration and benefits and your salary expectations;
  • Information relating to your employment references (if applicable, you will have ensured you have obtained consent from your references prior to providing us the information);
  • Information collected as part of the hiring process such as assessments and aptitude tests;
  • Identification information, as part of the pre-hiring process: such as immigration status, and where permitted, information concerning your race and ethnicity (for diversity monitoring purposes);
  • Any other information you submit to us as part of the recruitment process.

Your main choice for this type of personal information is simply not providing it, such as by not submitting a job application to Sitetracker.

WHY WE COLLECT, USE AND STORE PERSONAL INFORMATION

In general we collect, process, use and store information about you with your consent, to fulfill our legal duties, to comply with any legal obligations we are required to comply with, as is necessary to protect your vital interests or those of someone else, and/or for our legitimate interests or those of third parties.

If you accept employment with Sitetracker, the information collected will become part of your employment record and will be used for employment purposes.

Sitetracker uses personal information (and may in certain circumstances disclose the personal information) for the following purposes:

  • Determining your eligibility for employment/right to work
  • Sourcing talent and administering the recruitment process
  • Managing the selection process
  • Making an employment offer
  • Conducting reference checks
  • Conducting an assessment of your ability to perform required job functions
  • Carrying out background checks if you are offered a job
  • To communicate with you and inform you of career opportunities
  • Where permitted, analyzing and monitoring the diversity of the applicants, in accordance with applicable laws. This includes for example, compliance with equal opportunity employment laws
  • Where required by applicable law

All personal information you submit to Sitetracker is collected by Sitetracker for the purposes set out in this Notice and may be shared between Sitetracker affiliates and subsidiaries (including Sitetracker in the United States even when inquiring into or applying for positions outside of the United States).

BACKGROUND CHECKS AND ASSESSMENTS

Background Checks: Sitetracker conducts background checks on all employees where permitted and in accordance with applicable laws and regulations. These checks are completed upon commencement of employment at Sitetracker. Employment at Sitetracker is contingent upon the completion of a satisfactory background check (where a background check is permitted). If something on your background check appears to be a reason that Sitetracker cannot continue the employment relationship with you, we will notify you.

Professional and Technical Assessments: During the job application process with Sitetracker, you may be invited to participate in certain professional or technical assessments. If you participate in any such professional or technical assessments, the results or information gained from such assessments may be used during the interview process to guide conversations around specific competencies related to the role you are being interviewed for.

Information About Others: You may provide and/or we may receive information regarding references that you provide as part of the application process with Sitetracker. You have a duty, before you provide us with their data, to obtain their consent and inform them that we are going to process this data in accordance with this Notice, as appropriate.

WHEN DOES SITETRACKER DISCLOSE YOUR PERSONAL INFORMATION?

We may share your personal information with our employees, contractors, consultants and other parties who require such information to assist us with your application or job search process.

Your personal information may also be shared with companies providing services under contract to Sitetracker such as software and data storage providers. As a result, your personal information may be collected, used, processed, stored or disclosed in the United States of America and any other country where Sitetracker operates. Further, when we share personal information with such parties we typically do so pursuant to a contract with such parties, which contracts, in case such parties are located in third countries without a finding of adequacy by the European Commission, shall be drafted to include data transfer measures approved by the European Commission from time to time.

In addition, your personal information may also be shared with government authorities, regulators and/or law enforcement officials if required for the purposes above, if mandated by law and if required for the legal protection of Sitetracker’s legitimate interests in compliance with applicable laws.

Further, your personal information may be disclosed in aggregated, anonymized, or otherwise non-personalized form and/or with your consent.

HOW LONG IS YOUR PERSONAL INFORMATION RETAINED?

Except as otherwise permitted or required by applicable law or regulatory requirements, Sitetracker retains your personal information only for as long as it believes is necessary to fulfill the purposes for which the personal information was collected (including, for the purpose of meeting any legal, accounting or other reporting requirements or obligations), as long as required by law or, otherwise, at least until any responsibilities or liabilities connected to such data expire in accordance with the appropriate statute of limitations. We may, instead of destroying or erasing your personal information, make it anonymous such that it cannot be associated with or tracked back to you.

If you are not successful in your job search with Sitetracker, we may also retain personal information to contact you about other jobs/roles which may be of interest to you. If you do not want us to keep such personal information, or do not want to be contacted, please contact us at privacy@www.sitetracker.com, or reply to the communication requesting to be unsubscribed.

Following the outcome of the background check, we will retain a record of the background check and results where required by applicable law and/or our record retention policies and procedures.

YOUR RIGHTS

You have the right to access the personal information we collect about you as well as the right to correct and update it, and you have the right to request your data be deleted. Only those Sitetracker employees who need access to your personal information in order to perform their job have access to view that information that is stored in our systems.
